Privacy Policy

VoiceBrief is designed to help you capture, transcribe, summarize, and organize voice notes. This Privacy Policy explains what information VoiceBrief processes, how it is used, and the choices available to you.

Audio Recordings

Audio recordings created with VoiceBrief are stored locally on your iPhone in the current version of the app.

VoiceBrief does not upload the original audio recording to the VoiceBrief AI backend for summary generation.

Speech Transcription

VoiceBrief uses Apple speech-recognition services to convert recordings into text. Processing may occur on the device or through Apple services depending on device capabilities, language, availability, and Apple system behavior.

Apple’s handling of speech-recognition data is governed by Apple’s privacy policies and system settings.

AI Note Generation

When you choose to create an AI note, VoiceBrief sends the transcript text to the VoiceBrief backend. The backend sends the transcript text to OpenAI to generate a title, summary, and action items.

The original audio file is not sent to OpenAI in the current version.

AI features are completely optional. Before any transcript is sent for AI processing, VoiceBrief first requests your permission. If you choose not to allow AI processing, your recordings and transcripts remain on your device and AI features are not used.

VoiceBrief does not currently require a user account.

How Information Is Used

Information is used only to provide and improve VoiceBrief features, including transcription, AI note generation, subscription access, reliability, and troubleshooting.

Data Sharing

Transcript text is shared only when you choose to use an AI feature and have granted permission for AI processing. It may then be processed by service providers required to operate VoiceBrief, including the VoiceBrief cloud-hosting provider and OpenAI.

Subscription transactions are processed by Apple.

VoiceBrief does not sell personal information and does not use your information for third-party advertising or cross-app tracking.

Data Retention and Deletion

Recordings, transcripts, summaries, and action items are stored locally on your device in the current version.

You can delete a recording from VoiceBrief by pressing and holding the recording and choosing Delete Recording. Deleting a recording also removes its locally stored note data.

Information temporarily processed by cloud service providers may be retained according to their applicable service terms and operational requirements.

Security

VoiceBrief uses HTTPS encryption when sending transcript text to the VoiceBrief backend. Reasonable technical safeguards are used to protect information, but no method of transmission or storage can be guaranteed to be completely secure.

Children’s Privacy

VoiceBrief is not directed toward children under 13, and we do not knowingly collect personal information from children under 13.

Changes to This Policy

This Privacy Policy may be updated as VoiceBrief adds or changes features. The effective date will be updated when material changes are made.
